Key Purpose

The Administration Manager is responsible for specialist oversight, quality governance and operational support across the Group Risk Billing and Umbrella Fund Contributions environment. The role supports the integrated operating model by helping ensure that dual-scheme billing, contribution reconciliation and related administration are processed accurately, efficiently and within agreed service levels.

The incumbent acts as a subject matter expert for related Pension Fund Act Governance and related Regulatory Requirements referring to conduct Standard, Section 13A, Default reg, T-day, Two Pot etc.  Supporting team leaders and administrators with complex queries, quality control, SOP maintenance, root cause analysis, training, stakeholder engagement and continuous improvement. The role requires a strong understanding of Retirement Fund contributions, Group Risk billing, premium allocation, credit control, regulatory requirements and client-centred service delivery.

Areas of responsibility may include but not limited to:

  • Provide specialist operational support and oversight across end-to-end dual-scheme billing and contribution administration.
  • Monitor adherence to service level agreements, process requirements and agreed quality
  • standards across Group Risk Billing and Umbrella Fund Contributions.
  • Support accurate premium billing, contribution reconciliation, payment allocation, statement
  • preparation, risk-report checking and related administration activities.
  • Assist with the checking, quality auditing and authorisation of refunds, adjustments and billing corrections within approved authority structures.
  • Ensure that internal and external queries are handled correctly, professionally and within agreed client service levels.
  • Liaise with brokers, employers, servicing consultants, operations managers, team leaders, compliance, audit, finance and other internal stakeholders as required.
  • Maintain and improve SOPs, checklists and process documentation in line with business process developments, system enhancements and the amalgamated operating model.
  • Identify process gaps, operational risks, recurring errors and service issues; perform root cause analysis and recommend corrective or preventative actions.
  • Develop and support monthly quality control processes, including internal QA checks, trend analysis of errors, escalations, complaints and IQS breaches.
  • Identify training needs, coach administrators, support onboarding and contribute to cross-skilling across Group Risk and Retirement Fund processes.
  • Prepare and contribute to management information, including billing trends, quality findings, operational risk items, root-cause themes and service performance reporting.
  • Participate in operational projects and continuous improvement initiatives linked to the Amalgamation and Operations Reimagined programmes.

Education and Experience

  • Matric
  • NQF Level 6 or bachelor’s degree
  • Relevant Industry Qualifications – Wealth Management Introduction to Retirement Funds
  • MS Office - Advanced Excel skills, Accounting, Investments, People management, operational processes and process mapping. Retirement Fund and Umbrella Fund Operations
  • 3 - 5 year’s experience in the employee benefits ,retirement Fund and Umbrella industry
  • 3 years in a management role and 5 years in a senior role.
  • At least 3 Years LISP or Financial Services Industry experience
