Key purpose
The vacancy is for a Fit and Proper Project Coordinator within the Discovery Institute of Training. The role involves managing, coordinating, and supporting the administration of Fit and Proper legislative training requirements, ensuring compliance with all regulatory standards in the context of learning and development for the Discovery sales force.
Key outputs
- Monitor and report on all Fit and Proper training requirements for the Discovery sales force, ensuring that all training records are accurate, timely, and compliant with FSCA (Financial Sector Conduct Authority) standards.
- Assist in the creation and capturing of Fit and Proper assessments, training courses, and events within the appropriate systems to meet legislative requirements.
- Manage the input of bulk training data into the Learning Management System (LMS), ensuring seamless and accurate data transfer.
- Perform continuous Quality Assurance (QA) and auditing of Fit and Proper training records, ensuring compliance with both internal standards and external regulatory requirements.
- Clean, filter, and combine complex data sheets as part of the regular data management process to ensure information is consolidated and ready for reporting.
- Interpret and analyse data under supervision to draw insights and support decision-making, contributing to accurate and efficient reporting on Fit and Proper compliance.
- Ensure reports generated meet company standards for accuracy, timeliness, and consistency, supporting both internal teams and external stakeholders.
- Stay up to date with FSCA requirements and legislative guidelines, ensuring the team is informed of any regulatory updates or changes that impact Fit and Proper training.
- Validate training certificates in alignment with FSCA requirements, ensuring that all certifications are compliant and up-to-date.
- Document and update Standard Operating Procedures (SOPs) related to the Fit and Proper process and training requirements, ensuring accurate procedural guidelines are followed.
- Develop positive working relationships with both internal and external stakeholders, fostering collaborative efforts in ensuring compliance and training efficiency.
- Assist with daily Fit and Proper-related queries from sales representatives, providing guidance and resolving any issues related to training requirements.
- Resolve escalated compliance and commission queries, ensuring all concerns are addressed promptly, with a focus on maintaining regulatory compliance.
- Send bulk communications to the Discovery sales force, providing updates on Fit and Proper training requirements, deadlines, and necessary actions.
- Assist in developing communication strategies around critical Fit and Proper deadlines, ensuring that all communication with sales representatives is clear and timely.
- Support the project management of Fit and Proper training-related projects, ensuring timelines and deliverables are met under the guidance of senior team members.
- Identify gaps in the current Fit and Proper processes and propose potential solutions to improve the efficiency and effectiveness of compliance training.

Experience
Essential
- Minimum of 5 years working experience.
- Experience in administrative roles, particularly in environments where compliance, data management, or regulatory requirements are key.
- Basic knowledge of regulatory compliance, specifically in relation to Fit and Proper training and FSCA requirements.
- Familiarity with data management: Comfortable working with large datasets, ensuring data is accurate and ready for reporting.
- Ability to work with Learning Management Systems (LMS), ensuring accurate input and transfer of training data.
- Strong attention to detail, ensuring that all training records and compliance documents are maintained correctly.
- Intermediate Data Analytics skills: Familiarity with tools like Excel for data management, analysis, and reporting.
Advantageous
- Education and training qualification.
- Experience in learning and development or any related administrative support role, particularly within the insurance or financial services sectors.
- Knowledge of the insurance industry and understanding the specific regulatory requirements sales representatives must adhere to (e.g., FSCA, FAIS).
Computer Knowledge
- Intermediate Excel skills: Capable of managing data in spreadsheets, using formulas, filters, and pivot tables to clean and analyse data.
- Intermediate Microsoft Word: Comfortable creating reports and documentation.
- Intermediate Microsoft PowerPoint: Ability to assist in creating clear and effective presentations for internal teams.
- Intermediate Microsoft Outlook: Proficient in email communication, calendar management, and scheduling.
- Learning Management System (LMS) familiarity: Understanding of how to manage training data and reports within an LMS system (preferred but not required).
